Rotary District 9750 - RI-CAS
& RI-DAS Guide - Hints, Tips & FAQ Page.
PC software to help Club
Secretaries and Treasurers, and District officers, do their job.
RI purchased
Clubmate for Rotary Clubs and Districts in 2003.
It renamed it RI-CAS (Club Administration Software) and
RI-DAS (District Administration Software).
RI announced in mid 2008 that it ceased to support it from 31 Dec 2008.
Users of the on-line hosted versions of CAS or DAS lost access 30 Sep 2008.

It is ironic that part of the justification
for this move is that there were relatively few on-line users,
when RI had not yet allowed any new clubs of districts to join that
community after it took the system over.
Basically:
- If you were using the on-line version you could backup the data and transfer it to a standalone installation, see the FAQ.
- If you are using a
standalone version, you can continue to do so, it just
won't have any live support after 2008.
- You can download the
installer for the final version (CAS 1.01 and DAS 1.01)
here and install them as you like.
- Though the support
emails and user forums will not operate after 2008,
the existing messages in the forums then will be archived and
made available as PDF files for you to search for an
answer if it already exists

OBTAINING RI-CAS (and RI-DAS)
- You can install the software on any number of computers
you need.
- These are the latest versions available (right click on filenames to download):
RI-CAS Ver 1.01
- The installer file (ri_cas101_en.exe) is 42 MB, so best downloaded via a broadband connection.
- The CAS manual PDF file (ri_cas_manual.pdf) is 7.5 MB in size, but will be installed as part of your installation when the installer is run.
- The Installation guide PDF file (RI_CAS_GUIDE_en.pdf) is 660 kB in size.
- There is a smaller updater file (ri_cas_update100to101.exe) to update from CAS 1.00 to 1.01 only, 4.5MB.
RI-DAS Ver 1.01
- The installer file (ri_das101_en.exe) is 37MB, so best
downloaded via a broadband connection.
- The DAS manual PDF file (ri_das_manual.pdf) is 7.5 MB in size, but will be installed as part of your installation when the installer is run.
- The Installation guide PDF file (RI_DAS_GUIDE_en.pdf) is 470 kB in size.
- There is a smaller updater file (ri_das_update100to101.exe) to update from DAS 1.00 to 1.01 only, 3.8MB.
INSTALLATION: (same applies to DAS, but CAS is used
here as an example)
- Read the "RI_CAS_Guide.pdf"
file download from above. It will give you most of the
information you will need to install and get started.
- Run the installer file (eg: ri_cas101_en.exe
for Version 1.0.1 English) .
- Your option is a "New Installation".
- The first time you start RI-CAS it will show a New Club
Installation screen.
If you are upgrading, it will have the data from your
existing Clubmate installation, just accept that.
For a new installation you will have to enter your club
name. Remember that RI guidelines say that the club name
should be expressed as "Rotary Club of Xyz" not
"XYZ Rotary Club", or if incorporated, it could be as
"Rotary Club of Xyz Inc", and
please don't use all capitals. If you get it wrong, or
the club is renamed later, you can change it, see our Setup Page.
- To do a re-install over the top of the current
installation (to fix an operating problem), use the
"Add new user to existing installation" option.

BEFORE you start entering a lot of data, so it is
consistent.

- The RI-CAS Knowledge Base accessed via
the HELP menu, or directly via the icon in your RI-CAS
Start-Menu group, (actually this is the "Manual.pdf"
file, about 10 MB) which should be installed in your Rotary
International\Rc folder, usually located under
"C:\Program Files" if you accepted the defaults.

District 9750 Reporting.
- Attendance returns and Membership records provided by
some clubs is spasmodic and in an amazing variety of
formats, completeness and understanding of the rules.
- We have combined these two similar returns to one person
doing both functions, using District RI-DAS.
So now there is one point of lodging Attendance and
Membership reports for District.

- Submitting attendance via the "Monthly District
Update" function in RI-CAS does BOTH attendance and
membership updates in the one electronic process (no
manual re-keying or trying to understand what is intended).
Once the member's membership status and contact
information is correctly entered at the club level, the
attendance calculations and member update process flows
through to the district easily with each month's return.
- RI-CAS will also submit new member and member termination
notification to RI, District, (and to RDU easily) with a
simple action.
System
Requirements for RI-CAS
and RI-DAS
This is not a definitive specification, but just an indication
of what is required.
It is not a very high PC specification and most users should have
the capability if they have enough hard disk space.
Windows 95/98/ME/NT/2000/XP or later, 50 MB hard disk space
for installation, 64 MB RAM.
Ensure that Internet Explorer Ver 5 or later is installed,
especially on older windows versions.
(Microsoft included a lot of system updates that are needed in IE).
RI-CAS, like most PC applications, should run within a Win PC
emulator on a Macintosh, but a reasonably recent/powerful
Mac (especially via Bootcamp or Parallels on an Intel Mac).

Secretary and Treasurer (or even greater division of
tasks, like attendance) can maintain different parts of
the database and update each other.
- Export member information to another
application, like MS Excel
Common Problems and their Fixes:
- Did you get any Problems or Errors?
you probably didn't, but there are some common faults
that are easily fixed situations.
